Overview

The Downloads area can be used store files for download by staff and co-managers when they login. You might want to upload important information such as training manuals, menus, or even embarrassing Christmas-party photos!

When creating a new download, you can be specific about who can see it. For example, if you upload the new cocktail list, you might only want staff that have a bar or dining role to access it (and save the security guards from all the talk about changing the main dish from beef to chicken).

Particularly important download can be marked Sticky. This will ensure they always show at the top of the downloads list. Your might ‘sticky’ important downloads like menus and staff only vouchers.

Downloading a download

To view a download, click on the download row and select Download from the popup menu.

Creating a new download

To create a new download, click the Create New button. Here is a description of the fields:

Field name Description
File The file you wish to upload for download by your audience. Click the Chose file button and locate the file you wish to upload on your computer. The maximum file size you can upload is 20meg.
Name The name will be used on the download list page, and in the message which goes to the audience, if you turn the Notify audience setting on (more on that below). Try to keep the name short and descriptive – under 10 words is ideal.
Description A more detailed description of the download (optional). Use this area to fully explain what the file contains. There is no word limit on the description field.
File type Select the type of file the new download is.
Sticky Marking a download as ‘sticky’ ensures it will always show at the top of the download list page, regardless of its date created (the default way with which downloads are sorted). Mark only the most important downloads as sticky.
Notify staff If this is set to ‘yes’, all the staff as defined in your audience (see below), will get a new message notifying them of the new download. If you set this as ‘no’, the staff will still have access, it will just be reliant upon them logging in and finding the download. We recommend leaving this set to ‘Yes’ if the new download is important.
Audience Here, your selections in the audience section define who can view the download via their logged in area; to all other staff it will be invisible. If you don’t want any of your staff to view the download, select ‘Managers only’.

Once you have completed the above fields, click the Save button. If Notify staff was set to ‘yes’, all the staff specified in the Audience will be messaged.

Editing a download

To edit a discussion, click on the discussion row and select Edit download from the popup menu.

Deleting a download

To delete a discussion, click on the discussion row and select Delete download from the popup menu.
