Overview
The Message & Notification History area provides a complete list of communication sent by the system to you, your staff and your co-managers. By default, the main list view is filtered to only show messages to your staff. You can change this using the Advanced search options.
In the event a message is not delivered, it will be marked with a red warning symbol and tagged with the reason why it was not delivered. Once you have fixed the problem, you can click the, click on the record, and select ‘Resend Message’.
The Credits column shows how many SMS credits were used to send the message. A SMS message will take two credits to send if it is over 160 characters in length. If it is over 306 characters, it will use three SMS credits.
To view the contents of a message, hover your mouse over the magnifying glass, in the left column of the table.
Resending messages
There are several reasons why you might want to resend a message:
- The message was not delivered and you have fixed the reason why.
- You have an alternative contact method for a staff
- As a reminder to a staff
To resend a message, click on the message row and select ‘Resend message’ from the popup menu.
Tick the Mobile checkbox, to resend the message, to the number in the input box. If you change the mobile number, the system will ask if you want to overwrite the staff’s current mobile number record with the one you entered.
Tick the Email checkbox, to resend the message, to the email address in the input box. If you change the email address, the system will ask you if you want to overwrite the staff’s current email record with the one you entered.
You can resend multiple messages at once using the checkboxes down the side of the page. Click the boxes next to the message you wish to resend, scroll to the bottom of the page and click Resend. This feature is handy if you find that you have run out of SMS credits part way through the sending of roster summaries, after publishing a roster.
Archiving messages
To archive a message, click on the message row and select ‘Archive message’ from the popup menu. This will remove it from the table. You can archive messages in bulk using a similar method to the one used to resend messages in bulk, as explained above.
You can always view archived messages at a later date using the Advanced search function, found on the right column of your page.
