Overview

It is always a good idea to have a hard copy of recently published rosters pinned onto the wall. Due to the variety in roster sizes and internet browsers, we have included several panels of options which you can use to tweak the layout. Below these panels you will find a preview of how it will fit onto your page. The green dotted border represents the inside boundary of your print area. A new page will begin where the lines crosses the roster horizontally.

While you are able to print in role view, we recommend printing in staff view, to make it easier for your staff to see all of their upcoming shifts – in one row. If you need to apply some extra formatting before you print, please use the Export to Excel option.

Keep in mind: Unfortunately most internet browsers and printers have the final say when it comes to print layout. For that reason we have prepared browser specific print advice below. If you are printing in landscape you will also need to change a printer setting. This setting is generally found by clicking Preferences on the print dialogue that opens after you click print. There should be a drop down menu to change the orientation or a small preview page you can click to change.

What to show panel

Use the checkboxes in the What to show panel to add or remove information from your printed roster. You might want to print a roster with cost information, for discussion at a managers meeting, or to send to accounting. However, you would not want to include this information on the version you pin on the wall for staff. Changes to this panel are saved automatically.

How to show panel

The How to show panel allows you to tweak your layout depending on the length of your roster, the selection you have made in the What to show panel, and the size of paper your printer can handle. The most common combinations:

Font size Cell size Page size Page orientation Perfect for
Normal Normal A4 Landscape 7 day rosters printed with role information. Fits around 27 staff per page.
Normal Tiny A4 Portrait 7 day roster printed without role information. Fits around 40 staff per page.
Large Huge A3 Landscape 7 day roster printed with role information. Fits around 20 staff per page.

Which format panel

There are two options in the Which format panel, Print Roster and Export Excel. If you are unable to get the results needed from the Print Roster option, we recommend exporting to excel, and tweaking the layout from there before printing.

Printing in Google Chrome 5.0+

Printing your roster in Google Chrome is easy; the only thing you need to remember to do is to allow popups. Currently, Chrome does not support the printing of background colours so the shading on each second row will not show.

Printing rosters in Internet Explorer 7+

Internet Explorer is the most tricky to print in. After you click print, please follow the below instructions:

1. Cancel the print dialog:

2. Adjust the ‘Print background colours and images setting’ and the ‘Page size’ setting if you are printing A3. You will also need to click the small page to change the orientation to Landscape if that is how you want to print:
